aACE’s A/R and A/P systems are tightly integrated with the ERP components of the system. A handful of Access Privilges allow managers to choose
where fulfillment ends and where accounting begins. Many of our clients, for example, allow project management and order entry staff to create invoices but
not post them. In such cases, A/R is notified that an invoice is ready to be posted via a notice. A similar infrastructure exists for A/P.

The A/R and A/P systems are designed for companies with strict fraud-prevention strategies. Users who can enter bills may not be able to post them; users who can post bills may not able to pay them; etc. A healthy balance of activity logging is also included for clarity regarding who did what, why, and when. Controls such as these prevent problems before they begin. Even if the ability to compartmentalize activities at such a granular level is not a concern now, it should still be a key consideration as you evaluate the growth potential of a business management software solution.
Sales Tax Management
New to aACE v3.0 is a robust sales tax management system. Users can create any number of tax profiles, each of which can include from one to four different sales tax accounts. Users specify default rates for products, services, and purchases and create exceptions as necessary.
Sales tax management is highlighted because it is an excellent example of how the ERP and accounting portions of aACE work together, and in doing so can have a dramatic impact on an organization’s productivity. Users responsible for - and qualified to administer - tax management are not typically the ones creating clients and processing projects or orders. Preventing these day-to-day users from establishing client records could create a sizable bottleneck. On the other hand, an improper client setup could result in a tremendous liability if not caught early enough.
aACE addresses this problem by sending the financial oversight group a notice when a transaction is processed for a client who as not had their billing setup approved by a qualified individual. A member of financial oversight can then verify the default settings for the rate card, tax profile, credit limit, prepayment percentage, terms, and other important pieces of information. In so doing, your company’s financial oversight group can ensure that critical information is correct as transactions are being processed without imposing a bottleneck on your daily operations.
Period Management & Bank Statement Reconciliation
aACE’s period management module allows managers to open and close months throughout the fiscal year. This tool gives management the ability to prevent users from posting transactions to previous months. Management can still open a month temporarily for the purposes of posting historical adjustments. The fiscal year can be closed at any time after the fiscal year’s end.
Bank statement reconciliation can be easy or it can be a nightmare depending on the complexity of a business’ cash flows. For complex scenarios, aACE features the ability to save and restore progress in temporary progress files. Users can begin the statement reconciliation process, save their progress, and restore it at a later date. This eliminates the need for partial reconciliations.
Quickbooks Upgrade & Integration
aACE’s QuickBooks upgrade process is useful to clients who have outgrown QuickBooks and other common software packages. For those currently using QuickBooks, the transition is easy. For those using other systems, we can take advantage of the many existing converters to quickly convert your data to QuickBooks before porting it to aACE.
aACE also includes the ability to push financial transactions to QuickBooks. This is a terrific tool for clients who are not ready to give up QuickBooks, who would like to use QuickBooks as a way of delivering their data to their accountant, or who simply feel better knowing that their data can always be exported (natively) to perhaps the most common accounting system in the world.
